Key Benefits of Microsoft Dynamics 365 Integration
Automatic Meeting Notes on the Right Record: Transkriptor matches meeting participants by email to your Dynamics 365 contacts and leads, then adds a note with the meeting summary and transcript link — right on the record your team already works from. No manual record selection needed.
Follow-Up Tasks, Created for You: Transkriptor's AI reads the transcript, extracts the action items, and creates a Dynamics task for each one. When a deadline is mentioned in the meeting, it's set as the task's due date.
Native to Your Microsoft Stack: Connect with the same Microsoft 365 account your team already signs in with. Notes are stored in Dataverse, so they show up in Dynamics 365 Sales, Customer Service, and anywhere else your team works.
One Complete Note per Meeting: Transkriptor waits until the AI summary is ready before writing to Dynamics 365, so each record gets one complete note instead of several partial ones.
How to Connect Microsoft Dynamics 365
Step 1: Start from the Transkriptor App
Open the Integrations tab in your Transkriptor dashboard, find Microsoft Dynamics 365 under the CRM category, and click Connect.

Step 2: Enter Your Dynamics 365 Domain
The Authorize This Connector modal opens. Transkriptor needs to know which Dynamics 365 environment to write to.
Sign in to Dynamics 365 in your browser and copy the URL from the address bar.
Paste only the base URL into the Microsoft Dynamics 365 Domain field — for example, https://yourorg.crm.dynamics.com. Leave out /main.aspx and everything after it.
Click Authorize.

Enter your Microsoft Dynamics 365 domain to authorize connector.
The middle part of the domain depends on your region:
| Region | Domain format |
|---|---|
| North America | https://yourorg.crm.dynamics.com |
| Europe | https://yourorg.crm4.dynamics.com |
| United Kingdom | https://yourorg.crm11.dynamics.com |
Whatever your region, copy the domain exactly as it appears in your address bar.
Step 3: Sign In with Microsoft and Accept Permissions
You'll be redirected to Microsoft's sign-in screen. Sign in with your Microsoft 365 account. The Permissions requested screen shows Transkriptor (verified publisher: Transkriptor, Inc.) asking to:
Access Common Data Service as you (Common Data Service is the former name of Dataverse, where Dynamics 365 stores its data)
View your basic profile
Maintain access to data you have given it access to
Click Accept to continue.

Note for Workspace Email Users: If you're using a workspace or organization email, you may see an "Admin approval required" message. Your organization's admin needs to grant consent: Azure Portal → Enterprise Applications → Transkriptor → Permissions → Grant admin consent. After granting consent, return to Transkriptor and click Connect again.
Important: Make sure the account you connect with has a Dynamics 365 license and permission to create notes and tasks in the environment. Transkriptor acts on behalf of this user.
Step 4: Configure Your Dynamics 365 Settings
Once the connection is successful, the Dynamics365 Settings modal opens. Toggle each option on or off:
Create Tasks — Creates a Dynamics task for each action item in the transcript (on by default)
Include Summary — Adds the AI meeting summary to the note (on by default)
Include Transcript Link — Adds a link to the full transcript to the note (on by default)
Click Save to apply your settings.

Step 5: Done — Dynamics 365 Updates Automatically
The Microsoft Dynamics 365 card now shows Connected. From now on, every processed meeting is logged to Dynamics 365 automatically.
Note: This integration works for meetings with participants. Uploaded files don't have participant emails to match against, so no CRM records are updated for them.

Configure the Microsoft Dynamics 365 Integration
| Setting | Default | Description |
|---|---|---|
| Create Tasks | On | Creates a Dynamics task for each action item found in the transcript |
| Include Summary | On | Adds the AI meeting summary to the note |
| Include Transcript Link | On | Adds a link to the full transcript to the note |
When Include Summary is on, Transkriptor waits for the AI summary to finish before writing to Dynamics 365, so you get one complete note instead of two partial ones.
To change these settings later, click the three-dot icon next to the Dynamics 365 integration in Transkriptor and open Settings.
What Happens After Each Meeting
Once a meeting finishes processing and the AI summary is ready, Transkriptor goes through each participant's email address and:
Searches your Dynamics 365 contacts for a matching email address.
If no contact is found, searches your leads.
Adds a note to each matched contact or lead containing:
The meeting title
The AI summary (if Include Summary is on)
The list of action items, with owner and due date where mentioned
A transcript link (if Include Transcript Link is on)
Creates a Dynamics task for each action item found in the transcript (if Create Tasks is on), with the due date taken from the meeting when one is mentioned.
The meeting organizer is excluded from matching, so your own contact record doesn't collect a note for every meeting you host.
Where to Find Your Notes and Tasks in Dynamics 365
In Dynamics 365, notes and tasks are two different record types and appear in different places.
Notes appear in the Timeline of the matched record. In Sales Hub, go to Contacts (or Leads), open the person's record, and stay on the Summary tab. Your meeting note is listed in the Timeline as Meeting Notes - [meeting name].
Tasks are activities, not notes. In Sales Hub, go to Activities → Tasks and open the My Tasks view of the account you connected with.
How to Disconnect from the Integration
After connecting Dynamics 365 to Transkriptor, click the three-dot icon next to the integration to either change settings or disconnect.
When you disconnect, Transkriptor stops writing to Dynamics 365. Notes and tasks already created stay in your environment and are not affected.
Microsoft doesn't offer a way for apps to revoke their own access, so the authorization expires on its own. To remove it immediately, go to myapps.microsoft.com → Transkriptor → Manage → Revoke, or ask your admin to remove it from Azure Portal → Enterprise Applications.
Troubleshooting
| Issue | What to Do |
|---|---|
| Nothing appears in Dynamics 365 | This integration only runs for meetings — it needs participant emails to match against. Uploaded files don't create CRM records. |
| Notes aren't on any contact | Make sure participants have email addresses in the calendar invite, and that the same addresses exist on a contact or lead in Dynamics 365. |
| "Admin approval required" during connection | Your organization requires admin consent. Go to Azure Portal → Enterprise Applications → Transkriptor → Permissions → Grant admin consent, then reconnect. |
| Connection fails right after entering the domain | Check the domain — it should be the base address only (e.g. https://yourorg.crm4.dynamics.com), with nothing after .com. |
| No tasks appear | Make sure Create Tasks is on. Tasks are only created when the transcript contains clear action items. Check Activities → Tasks → My Tasks in Dynamics 365. |
| My own contact record has no note | This is expected. The meeting organizer is excluded from matching. |
| Connection stopped working | A Microsoft password change or revoked consent can end the session. Reconnect from the Transkriptor app. |
